Howdy potential exhibitors! 

We would love to have you join our convention!

The Texas Haunters Convention™ is a cash and carry style two day Halloween convention targeting Halloween and cosplay fans.

It is geared towards haunt owners, industry professionals, home haunters, families, trick or treaters, and just anyone who loves the Halloween season.

In addition to accessing the convention floor to take advantage of our exhibitor offerings, attendees will be able to participate in demonstrations, classes, make n’ takes, and other events. 

We are an exhibitor-friendly convention and want to make sure you enjoy the convention as much as our attendees do.  If you have any special requests don’t hesitate to reach out and contact us.

COVID-19 Information

We would like our exhibitors and attendees to know that we are closely monitoring the evolving situation around the current coronavirus outbreak.  The health and welfare of all who will be attending the 2020 Texas Haunters Convention™ is our top priority.

At this time, we are continuing as scheduled with the necessary planning and preparation for what we hope will be our best convention yet.

However, depending on the state of affairs in July, it may become necessary for us to reschedule or cancel the convention.  Rest assured that if we have to reschedule or cancel that we will offer full refunds to all exhibitors and attendees.

If you are staying at the host hotel for the convention, they are currently allowing reservations to be changed or canceled at no charge up to 24 hours before scheduled arrival. More information is available on their website.

We care deeply about our fellow haunters and Halloween enthusiasts and hope that everyone stays safe and healthy.

UPDATE 7/8/2020:

The Texas Haunters Convention™ is doing our part to make sure that our convention is safe for all who attend.   We are working closely with the city and venue to make sure we are following all state, county, and city guidelines for an event like ours.

  • Face coverings will be required to enter the venue per the current state requirements.
  • Hand sanitizer stations will be available throughout the venue for your safety and convenience.
  • We increased the size fo the convention floor to allow for wider aisles to assist with social distancing.
  • Our staff will be screened daily for symptoms and will have their temperature checked.
  • Registration will have contactless payment options available.
  • Required occupancy limits will be monitored throughout the venue.
  • Extra signage will be in place throughout the venue reminding people of guidelines and to practice social distancing.
  • We will be removing decorative tablecloths from classrooms so that table surfaces may be sterilized between classes.

  • There will be designated entry and exits doors to convention areas.
  • Directional markers will be used on aisle walkways.
  • We are asking individuals with new or worsening signs or symptoms to not attend the convention.
  • We are asking individuals who have had known close contact with a person who is lab-confirmed to have COVID-19 within the last 14 days to not attend the convention.

As an exhibitor we are asking you to do the following in their areas:

  • Screen your employees and contractors for symptoms at the beginning of each shift.  If they have new or signs or symptoms, send them home.
  • Use contactless payment whenever possible.
  • Regularly and frequently clean and disinfect any regularly touched surfaces.
  • Discourage attendees from needlessly touching items and disinfect any items that come into contact with attendees.
  • If attendees will enter your exhibitor spaces, create a designated entry and exit point.

If you, your employees, or contractors have any of the following new or worsening signs or symptoms you should not attend the convention:

  • Cough
  • Shortness of breath or difficulty breathing
  • Chills
  • Repeated shaking with chills
  • Muscle pain
  • Headache
  • Sore throat
  • Loss of taste or smell
  • Diarrhea
  • Feeling feverish

If you, your employees, or contractors have had known close contact with a person who is lab-confirmed to have COVID-19 within the last 14 days you should not attend the convention.

Exhibitor registration starts on January 1st, 2020.

Exhibit spaces are assigned on a first come, first served basis.

Exhibit spaces will not be reserved until paid in full during the registration process.  Partial payments will not be accepted.

Exhibit Space Options

Below is a list of the available types of exhibit space options as well as what items are provided with each type.

The ceiling height is 25+ feet.

Electricity is not included but is available from the venue and may be requested from the registration page.  Electricity is not available for table areas or food trucks.

Exhibitor passes provide access to the convention floor only.  A maximum of two additional exhibitor passes may be purchased with a booth or bare floor space.   Extra exhibitor passes are not valid for table areas or food trucks.

There are three types of table areas: Vendor, Celebrity, and Haunted House.  See registration descriptions for the requirements of each type.

Parking:

Parking at the convention is free.  We ask that exhibitors, especially those with trailers, park in the farther away spaces to allow for easier parking for attendees.

Specialty Equipment Use

Use of anything that creates haze, mist, fog, scent distribution, strobes, or loud noises should be discussed with the convention organizers well in advance of the convention.

We need to make sure the venue is prepared for these types of items from a facility and safety perspective.

Advertising and sponsorship options are available to exhibitors as well as industry related vendors.

Exhibitor Agreement

By registering and purchasing an event space you are agreeing to the Exhibitor Agreement.

A copy of the agreement may be downloaded here.

During onsite registration, an authorized representative of your company will be required to sign a physical copy of the agreement.

All vendors are subject to review and approval.  This is to verify vendors are theme appropriate and that we offer our attendees a variety of different vendor types.

Insurance

Our insurance covers the venue and our attendees only.  It does not cover any exhibitor merchandise!

Texas Haunters Convention™ and Texas Haunters Group, LLC is not liable for any damages to vendor merchandise.

Below are two popular companies offering exhibitor/vendor insurance if you do not already carry a policy and would like to cover your merchandise at the convention.  Texas Haunters Convention and Texas Haunters Group, LLC is not affiliated with either of them.

If you will be engaged in the below types of activities or similar, you must carry your own policy and proof of that policy must be provided to us prior to being allowed on the convention floor.  These include but are not limited to:

  • Stunts (such as stilt walking, charging, or sliding)
  • Attendee Activities (such as an escape room, maze, or zombie tag)

If you are engaged in these aforementioned activities, please add “Texas Haunters Group, LLC” and “Mesquite Convention Center” as additional insured to your policy.  You will then need to provide a copy of your policy either during onsite registration or by emailing us ahead of time insurance@texashauntersconvention.com.

Sales Tax

Exhibitors are responsible for collecting and remitting applicable Texas sales taxes.
